Before you start
Onboarding works best when one committee member drives it end to end. Keep the society registration number, a list of wings and flat numbers, and the current committee list handy.
- Society name, address, registration number and total flats
- Wing or block names and the flat numbering scheme
- Names, mobile numbers and email addresses of committee members
- Optional: an existing resident list in a spreadsheet
Step 1 β Register or claim
- 1Open Register your society and fill in the society profile. If your society is already listed, use Claim instead and we will verify you against the existing record.
- 2Pick the plan tier that matches your flat count. Every society starts on a 30-day free trial β no card required.
- 3Submit. The platform team verifies the society, usually within one business day.
You can invite the committee and start configuring the Hub while verification is pending.
Step 2 β Structure the society
Society Settings is where the Hub gets its shape. Configure it once and every module inherits it.
- 1Add wings/blocks, then flats under each wing. Bulk-add generates ranges like A-101 to A-1204 in one go.
- 2Set gates, parking zones and slot numbering used by the Security Gate and Parking modules.
- 3Choose the modules you want visible in the Hub. Anything you switch off disappears from resident navigation.
Step 3 β Invite the committee
- 1Open Committee Management and add each member with their governance role β Chairman, Secretary, Treasurer or Committee Member.
- 2Roles carry permission presets. Chairman and Secretary get full access; the Treasurer gets finance and reports; Committee Members start conservative and are widened per person.
- 3Invitations to people who already have an account activate instantly. Everyone else receives an email invite that expires if unused.
Step 4 β Bring residents in
- 1Invite residents by email or mobile, or share the society join link so they can request access themselves.
- 2During signup each person declares whether they are an Owner or a Tenant β this drives what they can do with the flat.
- 3Approve pending members from the Residents page. Only approved members see society data.
- 4Owners and primary tenants can then add household members and domestic helpers from Household Management.
Flat Access lets the flat's owner or tenant grant capabilities β like paying bills or creating visitor passes β to specific people in the household.
Step 5 β Turn on money and the gate
- 1Connect the society's own payment account under Society Settings β Payments so maintenance collections settle directly into the society bank account.
- 2Create your first billing cycle in the Finance Console and generate bills.
- 3Add guards under Workforce, assign them to gates, and hand over the Security Gate console on the gate tablet or phone.
Step 6 β Go live
- Publish a welcome notice on the Notice Board so residents know the Hub is live
- Share the mobile app link β the same account works on web, Android and iOS
- Watch adoption from Society Analytics and nudge unregistered flats
